Contact and enquiry form
We process data provided through the form or in direct correspondence to respond to enquiries, prepare a quote and agree on the terms of our services. If your enquiry concerns steps taken at your request before entering into a contract to which you will be a party, the legal basis for processing is Article 6(1)(b) of the GDPR. For other correspondence, including contact with people representing companies, the legal basis is Article 6(1)(f) of the GDPR. Our legitimate interest is handling enquiries and conducting correspondence related to WIS's activities. Providing data is voluntary. However, when the form is active, it requires an email address, a service category and a message. Without this information, it is not possible to submit an enquiry through the form. All other fields are optional. Enquiries are handled by members of the company's management board. For matters concerning the processing of your data, you can email contact@warmianis.pl.
Data recipients and providers
Hosting (Hetzner Online GmbH) and email service providers (OVHcloud) may access data to the extent necessary to provide their services. Processors acting on our behalf do so under appropriate data processing agreements and our documented instructions.
Retention and deletion
We retain correspondence concerning enquiries that did not result in a contract for 12 months from the completion of handling the enquiry. If correspondence relates to a concluded contract, we retain the data for the duration of its performance and then for 12 months from the completion of that performance, to the extent necessary for these purposes. At the end of the applicable retention period, we delete or permanently anonymise the data, unless there is a basis for retaining it further. The company's management board is responsible for implementing these rules.
Rights and data enquiries
Under the conditions set out in the GDPR, you may request access to your data, its rectification or erasure, or restriction of processing. If processing is based on our legitimate interest, you may object on grounds relating to your particular situation. The right to data portability applies where processing is carried out by automated means on the basis of consent or a contract and the other conditions of the GDPR are met. If we process data on the basis of consent, you may withdraw it at any time. This does not affect the lawfulness of processing carried out before its withdrawal. You can send requests to contact@warmianis.pl. We respond without undue delay, normally within one month of receiving a request. If an extension is necessary under the GDPR, we will inform you of it and the reasons within the first month. If we have reasonable doubts about your identity, we may ask for information needed to confirm it. You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office.
YouTube video and external links
We make a video available on the website through the YouTube player. The player loads only after you press the play button. You can use the rest of the website without activating it. Once the player is activated, your browser connects to an external service. The provider may process data including your IP address, information about your browser and device, and data about your use of the player. Google's Privacy Policy provides further details. Direct links to YouTube and social media services lead outside the WIS website. Once you visit those services, their own privacy rules apply. Closing the player does not delete data previously sent to its provider.
